About Our Privacy Policy
Equilin BV values your privacy highly. We only process data that we need for (improving) our services and handle the information we have collected about you and your use of our services with care. We never provide your data to third parties for commercial purposes.
This privacy policy applies to the use of the website and the services offered by Equilin BV. The effective date of these terms is January 21, 2023, and with the publication of a new version, the validity of all previous versions is void. This privacy policy describes the data we collect about you, the purposes for which we use this data, and under what conditions we may share this data with third parties. We also explain how we store your data, protect it from misuse, and outline your rights regarding the personal information you provide to us.

About Data Processing
Below, you can read how we process your data, where we store it (or have it stored), what security techniques we use, and who has access to the data.
Onze webwinkel is ontwikkeld met software van WooCommerce. Persoonsgegevens die u ten behoeve van onze dienstverlening aan ons beschikbaar stelt, worden met deze partij gedeeld. WooCommerce heeft toegang tot uw gegevens om ons (technische) ondersteuning te bieden, zij zullen uw gegevens nooit gebruiken voor een ander doel. WooCommerce is op basis van de overeenkomst die wij met hen hebben gesloten verplicht om passende beveiligingsmaatregelen te nemen. Deze beveiligingsmaatregelen bestaan uit de toepassing van SSL-encryptie en een sterk wachtwoordbeleid. WooCommerce maakt gebruik van cookies om technische informatie te verzamelen met betrekking tot uw gebruik van de software, er worden geen persoonsgegevens verzameld en/of opgeslagen. WooCommerce behoudt zich het recht voor om verzamelde gegevens binnen het eigen concern te delen om de dienstverlening verder te verbeteren.
WooCommerce hosting
Our webshop is developed using WooCommerce software, and we have chosen Oddworks for our web hosting. Personal data that you provide to us for the purpose of our services is shared with these parties. Oddworks has access to your data to provide us with technical support, and they will never use your data for any other purpose. Based on the agreement we have with them, Oddworks is obligated to implement appropriate security measures. These security measures include the use of SSL encryption and a strong password policy. Regular backups are performed to prevent data loss.
We also use web hosting and email services from Versio. Versio processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata about the use of the services, which are not personal data. Versio has implemented appropriate technical and organizational measures to prevent loss and unauthorized use of your personal data. Versio is also bound by a confidentiality agreement based on our agreement.
Website Email and Mailing Lists
MailChimp
We send our email newsletters using MailChimp. MailChimp will never use your name and email address for its own purposes. At the bottom of every email sent automatically through our website, you will find the ‘unsubscribe’ link. By clicking on it, you will no longer receive our newsletter. Your personal data is securely stored by MailChimp. MailChimp uses cookies and other internet technologies to track whether emails are opened and read. MailChimp reserves the right to use your data to further improve its services and may share information with third parties in that context.
Freshdesk
For our regular business email communication, we use the services of Freshdesk. This party has implemented appropriate technical and organizational measures to prevent misuse, loss, and corruption of your and our data as much as possible. Freshdesk does not have access to our mailbox, and we treat all our email communication confidentially.Payment processors
Mollie
To handle (part of) the payments in our webshop, we use the Mollie platform. Mollie processes your name, address, place of residence, and your payment details such as your bank account or credit card number. Mollie has taken appropriate technical and organizational measures to protect your personal data. Mollie reserves the right to use your data to further improve the service and, in that context, share (anonymized) data with third parties. All the safeguards mentioned above regarding the protection of your personal data also apply to the parts of Mollie’s services for which they engage third parties. Mollie does not retain your data longer than is permitted by law.
Reviews WebwinkelKeur
We collect reviews through the WebwinkelKeur platform. If you leave a review via WebwinkelKeur, you are obliged to provide a name and email address. WebwinkelKeur shares this data with us so that we can link the review to your order. WebwinkelKeur also publishes your name on its website. In some cases, WebwinkelKeur may contact you to provide an explanation of your review. In the event that we invite you to leave a review, we will share your name and email address with WebwinkelKeur. They only use this data to invite you to leave a review.
WebwinkelKeur has taken appropriate technical and organizational measures to protect your personal data. WebwinkelKeur reserves the right to engage third parties for the purpose of providing the service, for which we have given WebwinkelKeur permission. All the safeguards mentioned above regarding the protection of your personal data also apply to the parts of the service for which WebwinkelKeur engages third parties.
Shipping and Logistics DPD
When you place an order with us, it is our responsibility to have your package delivered to you. We use the services of DPD to carry out the deliveries. For this purpose, we need to share your name, address, and place of residence with DPD. DPD uses this data solely for the purpose of executing the agreement. In the event that DPD engages subcontractors, DPD also provides your data to these parties.
Invoicing and Accounting Yuki
For the administration and accounting of our business, we use the services of Yuki. We share your name, address, place of residence, and details related to your order. This data is used for the administration of sales invoices. Your personal data is sent and stored securely. Yuki is obligated to confidentiality and will treat your data confidentially. Yuki does not use your personal data for purposes other than those described above.
General Purpose of Processing
We use your data solely for the purpose of our services. This means that the purpose of processing is always directly related to the assignment you provide. We do not use your data for (targeted) marketing. If you share data with us and we use this data to contact you at a later time – other than at your request – we will ask for your explicit consent. Your data is not shared with third parties, except to comply with accounting and other administrative obligations. These third parties are all bound to confidentiality under the agreement between them and us or by oath or legal obligation.

We retain your data for as long as you are a client of ours. This means that we keep your client profile until you indicate that you no longer wish to use our services. Based on applicable administrative obligations, we are required to retain invoices with your (personal) data, so we will keep this data for as long as the relevant term applies. However, employees no longer have access to your client profile and documents we have prepared based on your assignment.

You can make a request with this purpose to our privacy contact person. You will receive a response to your request within 30 days. If your request is granted, we will send you copies or duplicates of all data about you that we have processed or instructed by us to other processors or third parties. We are likely to no longer be able to provide the service in such a case, because the secure link of data files can no longer be guaranteed.
